    RECEPTIONIST - RINGWOOD (Part Time)

    An opportunity for a part time receptionist has arisen within our head office.  The role will be based at Ringwood and will report to the HR manager.

    The purpose of the role is to be the first point of contact for all telephone/personal enquiries for the company, to maintain best practice in representing the company’s image and ensure all calls/enquiries are dealt with in a professional and courteous manner.

    Key responsibilities include:

    Main Receptionist / Switchboard Duties

    • Answering of the telephone on the switchboard and transferring the calls as appropriate.
    • Greeting visitors, completing appropriate paperwork and offering refreshments, if necessary.
    • Maintaining both the reception calendar and the signing out book for staff visiting site on a daily basis.
    • Administering our security fob system.
    • Opening distributing of post.
    • Franking of post throughout the day. Completion of paperwork for special delivery parcels/tenders. Maintaining the franking machine/monitoring the balance of funds.
    • Arranging collections through TNT/EXPD International for special deliveries. Also, receiving deliveries.

     

    General Administration Duties

    • Publishing of documents into our electronic filing system as and when required by the Accounts Department.
    • Managing the administration of all meeting room bookings including the main boardroom.
    • Ordering food and arranging payment for meetings from external caterer as and when requested.
    • Monitoring the Knights Brown generic email box and deal with appropriately.
    • Monitoring and ordering milk requirements for head office.
    • Fire warden duty.
    • Any other administration duties as and when required as directed by the line manager.

     

    The successful candidate will need to demonstrate good customer service skills.
